BUILDING USE
Policies & Procedures

The official church calendar is maintained by the Administrative Assistant. All requests for Building Use must be submitted with the Building Use Form. Only the Administrative Team will make changes to the calendar.
              Programs, Meetings, and/or Events may be submitted for scheduling through the church office.
 
All events are subject to Building Use Guidelines and availability. When there is a conflict, church activities take priority. Outside events will be scheduled on a first-come, first-serve basis. However, we will not schedule events more than one year in advance.
 
The building will not be available for outside events three weeks prior to Easter and from the week of Thanksgiving until the end of the year due to church activities and the busyness of the seasons.

For the rest of the year, events (including preparation and clean-up times) are scheduled around church services. This includes the building being unavailable for outside events on Saturday afternoons/evenings in the auditorium due to setup and cleanup for worship on Sunday morning.

SCHEDULING PROCESS

1)     Complete the Building Use Request Form and submit your form to the church office with your
        deposit.
              ·  Submitting the Building Use Form is the Applicant’s acceptance of the Building Use           
                 Guidelines.
              ·  Forms need to be completed 60 days prior to the date being requested.

2)     An Administrative Team Member will contact the Event Host to discuss the event, Building Use
        Guidelines, and Fees associated with the event. Once the appropriate paperwork is completed,
        deposit has been made, and your conversation with the with the Administrative Team has taken
        place, your event can then be added to the calendar.

3)     Cancellations or changes of any kind need to be made through the Administrative Assistant as
        soon as possible. If we are able to accommodate the necessary  changes, a notation will be made
        on the calendar. If cancellations are not made 24 hours prior to your event, the event host will
        maintain responsibility for all fees.

4)     If the building is being used by an organization, we will require a copy of your insurance coverage.
        If something were to happen to anyone in attendance, the requesting organization's insurance will
        be the primary insurance.
